- Hours: Full-time (37.5 hours per week | 8:30am – 4:30pm or 9:00am – 5:00pm)
- Rate: $52.53 per hour + Super
- Duration: Initial 4-week contract with potential extension
Primary Purpose The Executive and Project Support Officer provides high-level, confidential administrative and project support to Division Leaders. This role serves as a key liaison point between division executives and internal/external government and industry stakeholders, triaging urgent matters and ensuring smooth daily operational functions.
Key Accountabilities & Duties
- Executive Support: Deliver professional executive support to Leaders, including forward planning, diary management, priority triage, and meeting/event coordination.
- Travel Coordination: Organize intrastate, interstate, and international travel arrangements and documentation for division staff.
- Records Management: Ensure all division documents, briefings, and correspondence are correctly registered and managed using Objective EDRMS.
- Secretariat & Documentation: Coordinate agendas, briefing papers, reports, and minutes for executive meetings.
- Operational & Financial Support: Assist with financial processing, workflow tracking, and general administrative services under policy guidelines.
- Project Support: Conduct minor research, collect and analyze information, and contribute to division project goals.
Key Requirements & Capabilities
- State Government Experience: Prior experience in a State Government administrative or executive support setting.
- Objective EDRMS Proficiency: Demonstrated experience using Objective for electronic document management.
- Executive Administrative Background: Proven track record supporting executive or senior leadership teams in confidential environments.
- Organisation & Initiative: Strong time management skills, ability to prioritize competing deadlines, and capacity to work autonomously under limited direction.
- Communication & Discretion: High-level verbal and written communication skills with proven diplomacy and tact when handling sensitive matters.
- Eligibility: Full Australian work rights required.
